Privacy Policy

We collect the personal data needed to run your job search — contact details, your résumé, and basic usage data — and use it to find and score job matches for you. We never sell your personal data. We may share your résumé or profile with our business partners or client companies in specific, limited cases described in "Data Sharing" below — for example, if you use a Career Engine assistant embedded on a client company's own career page. We do not share it with data brokers or unrelated third parties. Your résumé's extracted contact details are stored encrypted, not as plain text. You can delete your account content at any time.

Legal Entity: Career Engine Inc., a Delaware C-Corp.

We are the "data controller" for the personal data we collect through the Platform.

Contact information: name, email address, and any phone number you provide.

Résumé & professional details: the résumé you upload, the role preferences, locations, and seniority range you set as your Focus, and — if you provide one, either extracted from your résumé or entered directly — your LinkedIn profile URL.

Usage data: product-activity events (page views, actions taken, API request outcomes) used for diagnosing problems and improving the Platform — retained for approximately 30 days on a rolling basis.

Cookies: essential cookies for authentication and preferences. See our Cookie Preferences page for details.

Billing data: subscription and payment details, processed by our payment provider (Stripe) — we do not store your full payment card details ourselves.

Account setup & delivery of the Service: to create your account, match jobs to your résumé, and deliver your weekly digest.

AI-assisted matching & scoring: we use AI/algorithmic tools to screen job postings against your résumé and generate a fit score and explanation. This is a decision-support tool for you — it does not make any automated decision that has a legal or similarly significant effect on you. Through our core matching service, no employer sees this scoring. The "Data Sharing" section below describes the specific, limited cases — such as a client-hosted career assistant — where your information may be shared with an employer or client company.

Communications: to send your digest emails, account notices, and respond to support requests. You can opt out of non-essential communications at any time.

Security & compliance: to protect the Platform from misuse and meet our legal obligations.

What we collect: Our free public tools — the Resume/ATS Checker, "Why This Job Fits You," H1B Sponsorship Checker, and Résumé Bullet Rewriter — can be used without creating an account. If you use one, we collect the résumé text you submit and any contact information (email address and/or phone number) you choose to provide. We also collect whatever tool-specific text you submit to generate your result — a pasted job description ("Why This Job Fits You"), a résumé bullet (Résumé Bullet Rewriter), or a company name (H1B Sponsorship Checker) — and a salted, one-way hash derived from your IP address, used only to prevent abuse and enforce rate limits on these tools; it is not used to identify you and cannot be reversed back into your IP address.

How it's protected: Contact information submitted through these tools is stored using the same envelope-encryption approach used for signed-up users' résumé contact data, described below in "How Résumé Data Is Protected" — each record is encrypted with its own key, and that key is itself encrypted under a master key held outside the database.

Why we collect it: To build a candidate pool so we can reach out about relevant job opportunities and the core Career Engine service — for the Resume/ATS Checker and "Why This Job Fits You" specifically, this includes periodic emails with job openings that match what you submitted, which you can unsubscribe from at any time.

Retention: Using a public tool doesn't create an account, so there is no "active account" for retention to key off. We retain this data indefinitely and delete it on request — a different retention posture than the account-based data described below in "Data Retention," not a restatement of it.

No account created: Using one of these public tools does not create a Career Engine account or sign you up for the Service.

Contract: processing needed to provide the Service you signed up for (matching, digest delivery, billing).

Legitimate interests: improving and securing the Platform, in a way that's proportionate and balanced against your rights.

Consent: for optional communications, which you can withdraw at any time.

Legal obligation: where we must retain or disclose data to comply with the law.

Contact details extracted from your résumé are stored in an encrypted envelope — each record is encrypted with its own randomly generated key, and that key is itself encrypted under a master key held outside the database. A database-only breach yields ciphertext, not readable personal data. Deleting your résumé deletes its associated encrypted contact-data record.

We share limited data with the service providers needed to operate the Platform (payment processing, authentication, email delivery, hosting, and AI processing) — see our Data Sharing Agreement for the full list.

We also share résumé and profile data with our business partners and client companies in specific, limited contexts — for example: if you interact with a Career Engine assistant embedded on a client company's own career page, that company receives the résumé and profile information you provide through it; or if a client company engages us to source and screen candidates for its own open roles, qualifying candidates' information may be shared with that client.

We do not sell your personal data, and we do not share it with data brokers or other unrelated third parties outside these specific partner and client relationships. You can request deletion of your account content, or ask us what's been shared and with whom, at any time — see "Your Rights" below.

Account and résumé data is retained while your account is active. Product-usage activity logs are retained for approximately 30 days on a rolling basis and then automatically removed. You may request full account and data deletion at any time.

Depending on where you live, you may have the right to access, correct, or delete your personal data, or to object to certain processing. You can exercise these rights from your account settings, or by contacting us.

The Platform is not directed at, and is not intended for use by, anyone under 18 years old, consistent with the age requirement in our Job Seeker Terms.

We may update this Privacy Policy from time to time. Material changes will be communicated by email or a notice on the Platform before they take effect.
